Data, privacy, and retention

Understand what Mico keeps on your computer, what it stores in its cloud, and how long audio is kept.

Mico captures meetings from your computer without adding a bot to the call. Transcription, summaries, and chat run in Mico's cloud, and your notes are stored there too.

What is on your computer and what is in the cloud

Each computer keeps a local copy of your notes, transcripts, and settings so Mico works without a connection, plus the recordings that Audio file retention keeps. While you are signed in, sync stores your notes, transcripts, contacts, and action items in your Mico account. They are not end-to-end encrypted: Mico's systems can read them, which is what lets them transcribe, summarize, and search.

Use Mico's export tools when you need a portable copy. Do not edit the app database directly.

When content is sent elsewhere

The destination depends on the feature you choose:

  • Transcription sends meeting audio to Mico's cloud service while you record, in short segments, to create the transcript. Imported audio is sent the same way.
  • Summaries send the text and instructions needed to create the summary to Mico's cloud service.
  • Connected calendars send the calendar and event details needed to show upcoming events and associate them with your notes.
  • Sync sends your notes, transcripts, contacts, and action items to your Mico account and keeps your devices up to date.
  • Sharing uploads the generated summary and any audio you explicitly include. Your private memo is not part of the shared note.
  • Chat sends the prompt and required context to Mico's cloud service. Public web search also sends the search query to the search service.
  • The API and the remote MCP server read your synced meetings from Mico's servers, and only for a client that presents one of your personal access tokens. They are read-only and keep no separate copy.

Transcription, summaries, and chat always run in Mico's cloud service. There is no on-device transcription and no option to use your own provider or API key, so recording a meeting sends its audio for transcription.

Choose how long audio is kept

Open Settings → Meetings and, under Audio, set Audio file retention. It controls how long recordings stay on this computer. Choose:

  • Don't save
  • 1 day
  • 3 days
  • 1 week
  • 1 month
  • Forever

The default is Forever. This setting only controls the local recording: Don't save still sends audio for cloud transcription and does not remove a copy you have already shared.

Distinguish the audio copies

CopyPurposeRetention
Local recordingPlayback, export, or transcription again from this computerControlled by Audio file retention
Cloud processing copyComplete the transcriptWhen cleanup is enabled, eligible for deletion 7 days after its transcript is saved successfully
Shared audioLet people with access play the recordingIncluded when you turn on Share audio; the 7-day rule does not remove active shared copies

Processing cleanup keeps segments with unfinished, blocked, or failed work, and those whose result has not been confirmed. Deleting a completed processing copy does not remove transcript text, the summary, or your local recording.

Cloud cleanup requires service activation. An inventory is reviewed for at least 24 hours first, without deleting files. Until activation, copies may remain longer than 7 days. Once enabled, deletion runs in batches and retries failures: seven days is when a completed copy becomes eligible, not a guarantee of immediate deletion.

Delete a recording or a note

  • Delete recording removes retained audio, keeps the note and transcript, and has no Undo. Its deletion syncs. If you shared the audio, also check Share audio to remove it from that copy.
  • Deleting a note removes the note and its content. You can use Undo while the message is visible. Mico also tries to revoke its shared link; if it cannot verify or revoke it, it shows a warning for you to check.
  • Turning off Share audio removes the recording from the shared note and keeps your local file. It cannot recall a copy someone has already downloaded.

If you delete while offline, cloud changes wait until Mico syncs again. With cleanup enabled, the server waits at least 10 minutes after receiving the deletion before confirming removal of processing copies. This protects Undo; deletion failures are retried. A note disappearing from the screen does not confirm that all its copies have already been physically deleted.

Turn off usage analytics

Open Settings → General and, under Privacy, disable Share usage data. This controls product analytics, desktop session replay, and error reports, not the meeting content sent for transcription, summaries, or chat.

Delete your account

Sign in at meetmico.ai/app/account and use Eliminar cuenta (Delete account). Mico permanently deletes your account and your cloud data, including notes, transcripts, and recordings, and removes them from the devices that sync them. Export anything you want to keep first. See the privacy policy for what Mico keeps for legal reasons, such as billing records.

Recording-consent rules depend on where you and the other participants are located. Make sure you have permission before recording.
