Action items

The commitments from your meetings in a list or a board: find them, edit them, ask the chat for help, and let rules handle them.

Every time Mico summarizes a meeting, it pulls out the commitments that were made: what has to be done, who took it on and, when someone said so, by when. Action items collects them all, outside the notes, to answer the question the day starts with: what do I have pending?

What you take on in a meeting is assigned to you. Mico knows the person recording is you and uses your name, so your tasks show up under Mine even when you said "I'll handle it" in the meeting.

List and board

Open Action items in the sidebar and pick a view:

  • List: open items one under another. Tick the checkbox to mark one done; Show completed also shows what is closed.
  • Board: three columns, To do, In progress and Done. Move a card by dragging it or with its arrows. In a narrow window, the columns slide sideways.
  • Rules: what Mico does with your action items on its own. See Rules.

The list is part of the Focus, Flow and Enterprise plans. The board and rules are part of the Flow and Enterprise plans.

Search, filter and sort

  • Search action items finds every word in the task, the assignee or the meeting, ignoring accents and case. Escape clears the search.
  • All, Mine, Others and Unassigned filter by assignee, and each shows how many open items it has. Items assigned to "the team" count as Unassigned: nobody in particular owns them.
  • Sort by Due date, Oldest first, Newest first, Recently updated, Assignee or Meeting. Done items always go last.

Mico remembers the view, the filter and the sort order the next time you open the app.

What each card flags

FlagWhen it shows
OverdueThe due date has passed. A task due today is not overdue until tomorrow.
Due soonIt is due today or within the next two days.
No change in N daysNobody has touched it in seven days or more.
Done already?A later meeting said it was done. See Already done.

Items you finished more than 14 days ago are archived: they leave the Done column and Show completed, and come back with Show N archived.

Edit an action item

Click a card or a row to open the action item in a panel on the right. There you change:

  • the task, saved when you leave the field or press Enter (Escape undoes what you typed);
  • the Status;
  • the Assignee: one of your contacts, Assign to me, or a name you type even if it is not in your contacts;
  • the Due date, with the date picker or with Today, Tomorrow and Next week.

The panel also links to the meeting it came from. Delete asks for a second click (Click again to delete).

With the panel open, J and K move to the next or the previous action item, and Escape closes the panel.

If you regenerate a meeting's summary, what you already did with its action items stays: the status, assignee and due date you changed do not go back, and what you deleted does not come back.

Ask the action item's chat for help

Below the action item's details there is a chat for that task alone. It knows what the task says, its status and the meeting it came from, and it picks the conversation up where you left it every time you come back. Try Help me get it done., Draft a follow-up. or What was said about it?.

The chat does not change or send anything on its own. When you ask for something that acts, it shows a card with what it would do and waits for your click:

You ask forOn confirmation
A new status, assignee, due date or wordingIt applies the change, as if you made it in the panel.
An emailOpen draft opens the email ready in Gmail, Outlook or Mail. You send it.
A WhatsApp messageOpen WhatsApp opens the chat with that person and the message written; if Mico does not have their number, WhatsApp asks you to pick the contact. You send it.
A Slack messageSend posts it to the channel.
A Linear issueCreate issue creates it and links to it.
A Notion updateAdd to Notion adds it to the page.

Slack, Linear and Notion only appear if you have them connected; you connect them from their templates in Settings → Automations. A request with several actions, like "email Roberto and WhatsApp Martina", becomes one card per action. If an action fails, Try again repeats it; what already happened is never repeated.

The action item's chat works like the meeting chat: it needs you to be signed in and uses Mico's cloud service.

Already done

When you summarize a meeting, Mico looks at your open items from the last six weeks, starting with those from meetings with the same people. If someone in this meeting says one is already done ("I sent it to Roberto on Tuesday"), the card asks Done already?.

Open the action item to see the exact sentence that says so, and choose Mark as done or Not yet. Open that meeting takes you to the note where it was said. Mico only proposes: it never closes an action item on its own, and it only proposes when the sentence really appears in the transcript.

Rules

In the Rules view you decide what Mico does with your action items on its own. Each rule says When and Then:

  • When: a new action item appears, it is overdue, it is due soon, it has gone days without changes, or a later meeting says it is done. You can narrow it by assignee, by whether it has a due date, and by a word in the task.
  • Then: Notify me, Change its status, Set a due date or Assign it to me.

To start, Suggested offers common rules you add with Add: notify you about your items that are overdue, that have had no changes for a week, or that another meeting says are done, and give your items that arrive without a due date one three days out. New rule opens the editor for the rest. The Rule active switch turns a rule off without deleting it, and Recent activity shows what each rule did and whether anything failed.

Each rule acts once per situation: it notifies you about an overdue item once, not every time Mico checks. If the task changes (another due date, another edit), that is a new situation and the rule can act again. A rule for new action items only counts the ones that arrive after you turn it on. If several action items meet a rule at once, you get a single notification with the total, and clicking it opens the action item or the section.

Rules run while Mico is open on this computer and catch up when you open it. They are part of the Flow and Enterprise plans, like automations.

Before a meeting

On the home screen, the next meeting shows what is still open: first anything from the same series (Still open from this series), then items from earlier meetings with any of the same guests or assigned to one of them (Still open with these people). Click an item to open it in Action items and close or reassign it before you join.
